Similar to how established client appointments are matched with existing accounts in ezyVet, unmatched appointments—whether for new clients or returning clients with unsynced data (new pet)—also need a reference point This is where placeholder accounts are essential when using Online Booking alongside ezyVet. The placeholder account is created during the onboarding process specifically for new clien/patient appointments to ensure a smooth booking experience.
Why it matters:
Appointment Matching: Because the placeholder accounts are a link for new client/patient appointments in ezyVet, it ensures they are properly identified and matched to a unique reference file. This allows bookings for new clients/patients to be processed reliably, helping to avoid potential mismatches or booking errors.
Seamless Scheduling: Beyond linking appointments, the placeholder account enables new clients/patients to be smoothly integrated into ezyVet. This ensures that new client/patient appointments sync with ezyVet’s scheduling workflow, allowing hospitals to maintain a consistent booking experience.
Optimal Performance: To maintain this seamless booking flow, we emphasize that placeholder accounts must remain unchanged and not customized. This way, your hospital can manage new client/patient appointments smoothly and efficiently.
How to Use the Placeholder Accounts
When a new, or unmatched, client schedules an appointment, create their client/patient account separately from the designated appointment in ezyVet. Once the new account is created, link it to the Online Booking created appointment as demonstrated in the instructional video, leaving the placeholder account unedited. This ensures that new client/patient appointments integrate smoothly with the system.
Staff must leave the placeholder account details unchanged, as modifying them can interfere with booking new client/patient appointments properly. The placeholder account should be considered locked for all practical purposes, even though it technically is not. If the team notices that new client/patient appointments are being scheduled with repetitive client/patient details, it may indicate that the placeholder account has been overridden.
What to Do if the Placeholder Account Is Overwritten or Deleted?
If the placeholder accounts are overwritten or deleted:
1. Follow this article to create the new placeholder account
2. Share the url for the client and patient accounts with the Support team
Avoid further changes to the placeholder account once restored to maintain a seamless experience for new client/patient appointment bookings.
