This article will help you setup and enable Smart Links within the PMS RxWorks
Note: This feature is available in RxWorks 5.2 and above. If your RxWorks version does not support this, you will need to contact RxWorks Support and request an upgrade.)
Not sure what Smart Links are? See this article: What are Reminder 'Smart Links'?
Getting the Vetstoria Smart Link Details
Firstly thing to do, you will need to obtain your clinic 'Smart Link' details from your Vetstoria Scheduling Tool.
After logging into your Vetstoria Scheduling Tool.
Navigate to Settings > Reminders
You will be obtaining two bits of information unique to you:
- Your Base URL
- Your Site Hash
Below shows you how you can get your information.
Obtain your Base URL from the address bar of your browser as exampled below.
Note: The Base URL will be different for different clients depending on what geographic region you are located in and what Vetstoria server you are hosted on.
It is important to get this from your own session when logged into your Vetstoria Dashboard.
- It is the first part of your URL as highlighted. Ignore the rest!
CAUTION: The “Site Hash” is unique to your clinic, so please make sure you use the data you obtain from your own tool rather than use the above examples.
Entering you Smart Link details into the RxWorks Configuration
With this data, you will now need to enter this into your RxWorks PMS.
Ensure you are logged into your PMS with an account that has the right permissions to perform this operation.
Access the web booking setting in RxWorks by navigating to: Task Panel > Options & Setup > Clipboard & Imaging > Web Booking Settings.
In the Web Booking Settings screen, enter your Base URL and your Site Hash
NOTE: If you wish to configure Smart Links for more than one branch, you will have to follow the steps above for each of your branch clinics as the Site Hash is not a global setting within RxWorks.
You will need to switch clinics using the menu option top right, or Alt+F2
Adding the Merge Field to your Templates
Now you have your Smart Link details entered into your RxWorks Configuration, next step to to add the Smart Link enabled Merge Fields into your templates.
These work with your Letters, Emails and SMS Templates
The Merge fields are:
- <<Appointment Booking Link>>
Letters
Navigate to Task Panel > Reports > H (Setup & Document Editing)
Under Patient Documents, select Reminders, and choose one of your existing Reminder documents you use.
Click 'Edit' and in the document where you want the Smart Link to appear, enter the merge field called <<nextreminderbookinglink>>
TIP: When adding these merge fields, please ensure you leave a space either side of the merge field. If you have a full stop after the link, for example, the link will not work.
Email and SMS Templates
Navigate to Task Panel > Email Manager > Message Templates
Select one of your templates, either an SMS or Email...
In this example, we will modify 'Appointment missed'
Within your template, place your cursor where you want the merge field, to appear, find the merge field called {Appointment Booking Link} and click Insert Merge Field.
Or you can just type in the merge field {Appointment Booking Link} in the correct place.
Click Save and you are done.
