How do I configure a Multi-Clinician per calendar on RxWorks?

.

This article will walk you through the process of setting up a Multi-Clinician per calendar on your RxWorks system.

If your calendars are shared or rotated among several clinicians, you will have to place a unique code in your RxWorks clipboards to allow the safe identification of all the vets on Vetstoria.

The instructions below will guide you through this process:

  • Right-click on the slot before the first available appointment and select 'Miscellaneous Entry'.

  • Add the required code as shown in the example below. (Please note that the addition of the code will take up one appointment slot)
  • You will have to place a "$$" sign before the code (no space in between) to make sure the code is unique. For example $$JT
  • This code will need to be added manually for each day in the diary.
  • When a vet's shift ends and there is no vet taking over, you will have to block these slots off.
  • We identify each "code" into your Vetstoria platform and associate a vet name to it.
  • This code will need to be added for each day in the diary.

Example Scenario

Consider the following example. There are two clipboards ( Consult 1 and Consult 2) which are shared by 3 vets. This can be setup as follows:

Vet Name - (Working hours)

Clipboard

Code to be added

Jack Thompson (8.30am -12.00pm)

Consult 1

$$JT

Jackie Brown (12.30pm - 5.00pm)

Consult 1

$$JB

Jennifer Simons (8.30am - 5.00pm)

Consult 2

$$JS

The print screen below shows how the aforementioned setup is emulated on RxWorks.

This code will need to be added for each doctor/clinician for each day/shift in the diary.

There are 2 options to stop online booking from being available before the end of day.

If a vet's shift ends before the end of the day and there is no vet taking over, you will have to either
1. Block these slots off manually,
OR
2. You can use the code $$STOP

If the shift changes to a new doctor, the new doctor code will stop the previous shift and start the new one.
