Meta sign up form process
Vetstoria acts as the Solution Partner that uses the Meta embedded form to onboard Clinics onto the WhatsApp Business Platform.
1. You can start the configuration by heading to Settings > WhatsApp Configuration and then click on "Login with Facebook".
2. An embedded form will open in a new window and you can enter the Email address and password associated with the clinic account, then click Login.
3. The window will refresh, presenting a confirmation message asking you want to proceed with the identified account.
4. After clicking "Continue as [clinic name]", you will be prompted to grant Vetstoria permission to manage their WhatsApp Business Account and billing details.
5. Clicking "Get started" will initiate the process to enter the clinic's business name, business email, business website or profile link, and select the country.
This process is standardized, whether a user is creating or selecting a WhatsApp Business Account, the flow remains the same up till here.
Creating a new WhatsApp Business profile Flow
1. Clicking “Next” will redirect the window to options for creating or selecting a WhatsApp Business Account. Choose "Create a new WhatsApp Business profile".
2. Enter the WhatsApp Business Account name and display name, which should be your clinic's name. Select the category "Medical and Health".
3. Optionally, clicking on "Show more options" allows the user to provide additional information like Timezone, business description, and a link to your clinic's website.
4. Afterward, you will be prompted to provide their phone number details. This will be the phone number visible to the pet owners during chats with your clinic.
***A dedicated number is needed to use WhatsApp through embedded signup. If a business has a number actively registered on WhatsApp Messenger or the WhatsApp Business App, the same phone number cannot be used. To migrate a number, the WhatsApp Messenger or WhatsApp Business App account must first be deleted.
5. You will then have to choose how they want to verify the provided phone number (via Text Message or Phone Call). A 6-digit code will be sent to the phone number for verification.
6. Once the verification is successful, proceed to the final step where Meta will review your clinic's business details to ensure compliance with WhatsApp's Commerce Policy.
7. Lastly, you will need to tap "Continue" to confirm permissions and complete the Embedded Signup process.
Selecting an Existing Whatsapp Business Account and Profile Flow
After clicking "Get started," if the clinic user chooses an existing Whatsapp Business Account and profile, the profile is shown but remains un-editable. Any profile edits must be made through the WhatsApp Manager.
Finally, you must verify their phone number and confirm permissions. These steps mirror those in the Creating a new WhatsApp Business profile flow.
Account Connection status
1. Once you have successfully set up their WhatsApp Business profile, the chat console will reflect the status as connected.
2. If you want to disconnect your account from Vetstoria, you will have to do so from your end. For more information Manage your WhatsApp business solution provider's permissions.
3. Once removed, the status will reflect as disconnected.
Costs associated with WhatsApp
- WhatsApp uses a conversation-based pricing model, charging clinics per 24-hour conversation with rates varying by conversation category.
- The four categories on the WhatsApp Business Platform are marketing, utility, authentication, and service. Clinics are categorized under the Service category.
- The conversation rate for service messages can be calculated via Business Platform Pricing. The market, currency and conversation category must be selected to find the rate.
Adding a payment method
Once your clinic has set up the WhatsApp Business Account successfully, you will have to provide a payment method via Facebook Business Manager. You can add multiple payment methods and set one as the primary for automatic billing.
Adding Credit Card Details
1. You will first have to access your Facebook Business Manager and log in.
2. Next, navigate to the drop-down menu containing the Business Portfolio and select your clinic's portfolio. If the correct portfolio is already selected by default, you can proceed to the next step.
3. Afterwards, click on the menu icon (three horizontal lines at the top left) to open the "All Tools" section. From there, click on "Business Settings".
4. The "Business Settings" page will open. You should then navigate to Accounts > WhatsApp Accounts. Next, click on the Settings tab for the clinic account. Finally, clicking on the Payment Settings will open a new tab.
5.The "Billing & Payments" page will open, providing you with an overview of the billing details. Click on the "Payment Methods" tab in the navigation panel.
You will then need to update your role of Finance Editor. To do this, you must click on "Modify Permissions".
This will open a pop up where you must assign the role of finance editor to the relevant individual.
Afterwards, you must click on "Payment Methods," then click "Add" next to "Add Business Payment Method".
A pop up will appear where the relevant payment and card details must be provided.
10. After clicking "Save," the added payment method will be used for all future billing processes. You can also access the Billing & payments page by heading to Business Settings > Billing & payments which will open the dashboard in a new tab.
