How do I customize System Messages?

The following article provides will give you instructions to help customize System Messages.

System messages allow you to customize the specific messages in the booking tool. Initially, these messages are defined according to the setup form which was received during the registration process which helped to understand the clinic's needs.

 

Navigate to Settings > System Messages


 

There are five types of messages which can be customized as below.

  1. Important message 
  2. Emergency
  3. Cancellation/Rescheduling
  4. Refund Policy
  5. No Slots Message
  6. Booking Confirmation Clause
  7. Appointment Note Format


1. Important message 

If you want to communicate important information such as shortages in vaccinations, you can do this by displaying an important message to to the pet owners who book appointments via the Vetstoria booking tool.


2. Emergency 


Provision of a message to a client in case of an emergency.

The message filled in the above box will appear on the booking tool upon clicking the Emergency button as per the below screenshot.

3. Cancellation/Rescheduling

Specific messages for clients to be displayed in the time of booking, cancellation or rescheduling.

This message will appear in the confirmation email as shown in the screenshot below.

4. Refund Policy


You can customize and include your own refund policy message. This will be displayed to the client at the time of payment, cancellation or rescheduling. Please note that this must be filled in when making payments mandatory for certain appointment types. There are two places that a refund policy will be showm.


1. When the card details are requested from a pet owner to make an online appointment booking, the refund policy is shown at the bottom.




2. The other place this appears is on the appointment confirmation email which is sent to pet owners. 



5. No Slots Message

A message can be included requesting your clients to call the practice if they are unable to find any convenient slots for them.

5. Booking Confirmation Clause 

This can only be updated through the Vetstoria Support team )


You have the option to include a booking confirmation message that will be displayed to the pet owners at the "Pet Owner Details" step.



This field can be used to display a clause similar to below example with a hyperlink pointing to a website address where any terms and conditions or privacy policy of the clinic might be hosted. 


“By booking this appointment I confirm that I am at least 18 years old. Please read more about how we process your personal information in our company's privacy policy.”.



Please seek assistance from Vetstoria Support team to enable this clause.



Note to Support staff : When inserting a hyperlink the 'Target' needs to be set as 'New Window'.



6. Appointment Note Format


A format of the note we send to the PMS when bookings are made can be customized.

When the changes are done, click on Save Changes.
