Creating an "Unknown" species, breed and coat color on your Impromed System

This article will guide you through the process of creating an "Unknown" entry for species, breed and coat color on your Impromed System, the reason we need to do this is to prevent your Impromed system from running into unexpected errors when an unmatched appointment is booked i.e. an appointment that is linked to a new pet parent and pet that visits your clinic. Doing the below steps will ensure you don't run into these error: 


To do this in Species: 

  1. Go to “I” on the top left → Setup → Client and Patient Database → Species

  2. Search to see if you already have “Unknown” listed. If so, you can skip the remaining steps. 

  3. If not listed, click on Add on the top right

  4. Enter the name as Unknown (which is case sensitive), and enter the other values as you prefer. Save and Close


To do this in Breeds: 

  1. Go to “I” on the top left → Setup → Client and Patient Database → Breed

  2. Search to see if you already have “Unknown” listed. If so, you can skip the remaining steps.

  3. If not listed, click on Add on the top right

  4. Enter the name as Unknown (which is case sensitive) and select Unknown species. Save and Close.


To do this in Coat colors: 

  1. Go to “I” on the top left → Setup → Client and Patient Database → Coats Colors

  2. Search to see if you already have “Unknown” listed. If so, you can skip the remaining steps.

  3. If not listed, click on Add on the top right

  4. Enter the name as Unknown (which is case sensitive) and select Unknown species. Save and Close



Doing the above, will ensure that the errors do not occur. 


Note: Do keep in mind though that when unmatched appointments are booked, the relevant patient file(s) created will be populated with the "Unknown" value in the species, breed and coat color section of the patient file. 


Furthermore, to ensure your colleagues at the front desk is aware that the patient file would need updating, we pass the following message in the patient summary section of the appointment entry:
