How to configure Cornerstone Templates with Vetstoria

Cornerstone templates can be used either to reserve slots for walk-in appointments or to define the slots that should be available for online booking.

Basic definitions to keep in mind: 

  1. Reason for Visit slots: 
    These are the coloured slots you see on your Cornerstone schedule if you are currently using Cornerstone Templates. The “Reason for visit” slot(s) define a Cornerstone “Template” by defining slots for clinicians as shown below:


    Everything in green in the above screenshot is a “Reason for visit” slot.

    If you would like to know what exactly the “Reason for visit” slot is, just hover your mouse cursor over it and an information box will reveal that information as shown below:



  1. Templates:
    Templates play the same role as a general schedule (i.e calendar), but with a twist - a template here is a predefined schedule that can contain multiple “Reason for Visit” slots, and can be assigned to specific day(s) of the week which in turn will dictate the availability of slots on the Vetstoria Booking Platform. Given below is what a template looks like:



The section above is focused on ensuring you use the right terminologies when working with Cornerstone. In the next few sections we will be covering how you can configure “Templates” and “Reason for Visit” slots.

  

How to configure “Templates”?

Templates can be configured in two ways, you can either create a new one or update an existing one:


  1. Creating a new one:


  2. Updating an existing Template:



For this demonstration, we will be creating a new template called “New Template”, and to add the “Reason for Visit” slots to it you have to:

  1. Double click on the the time slot you would like to add the “Reason for Visit” slot(s) to, specify the time range and click on “OK” as shown below:


    Note: Rather than specifying the time range you can also just type in the “Units” which adds the “Reason for Visit” slots based on the number of units entered, so if you type “5” in the “Units” section you will have five slots of the “Reason for Visit” slots allocated to the template from the initial slot you double clicked on.   

  1. Continue adding your “Reason for Visit” slots as per your requirement, and once done, click on the “OK” button on the top right of the "Template Designer" window.


    You have now created your template and will need to allocate it to your schedule/roster which is covered in the next section. If you modified an existing template, it will be updated with the new changes on your schedule/roster. 



 How do I add or update the templates on my schedule/roster?


To add or update the templates on your schedule/roster, you have to:

  1. Navigate to a section called “Template” by going to:
    Controls >> Appointment Scheduler >> Practice Setup >> Templates


  2. You now added your template to the schedule/roster successfully and the Vetstoria booking platform will display availability accordingly. 


Note: if the template does not get applied to your schedule/roster, please close the schedule/roster window and open it again.

Furthermore do not utilize the template drop-down on the schedule/roster to add or update new templates as that functions more as a preview and does not apply the template as shown below (but do not apply templates like this):


How to integrate the "Reason for Visit" slots into Vetstoria? 

The aforementioned slots can be integrated on a per appointment type basis on Vetstoria, and to configure this please do the following:

  1. Once logged into your Vetstoria account, navigate to the “Appointment type” section in “Settings” as shown below: 


  2. Navigate to the “Show options for” drop-down menu on the right side of your screen and select “Cornerstone Templates” as shown below:

  3. Click on the box labeled “None” and a window will open up with all your “Reason For Visits” from your Cornerstone system, select one or multiple “Reason for Visit” slots you would like to apply to the relevant appointment type as shown below: 




    Note: If you do not see any “Reason for Visit” slots, you have to click on the “Sync Cornerstone Templates” button located below.

  4. Close the window, and now Vetstoria appointments will appear on top of the designated “Reason for Visit” slot on your Cornerstone system as shown below:


     



How do I exclude my the "Reason for Visit" slots from Vetstoria? 

If you would like to exclude all “Reason for Visit” slots, please email support@vetstoria.com and we will apply the relevant settings to exclude the relevant slots from Vetstoria's booking platform.

If you decide to exclude all slots from the online booking platform then only the white spaces on Cornerstone will be picked up for online appointments.
