Adding a disclaimer
You can add a disclaimer of your preference notifying pet owners about how your clinic will handle the KC Vaccine shortage. The disclaimer can be customized to be shown at the start of the booking process or when a pet owner has selected a vaccination appointment type. The following is an example of how such a disclaimer looks like in a Vetstoria booking tool.
More information on how how to add a disclaimer can be found here
Using appointment types to manage the bookings
Appointment types in Vetstoria is a highly configurable feature. You have the ability to restrict appointments per species, client type or even by the clinician. The following are some tips on how you can leverage the customization options available to manage the KC vaccine shortage.
Assigning a Vaccination calendar to manage availability
You can create a specific calendar in your practice management software and sync the Vaccination appointment types in Vetstoria. This will give you control over the times the vaccination appointments can be booked online.
Disabling vaccination appointments
You have the option of disabling specific appointment types in your Vetstoria account. You can leverage this feature and disable Annual/Booster vaccinations, be it for specific species or client types (new vs returning clients).
If still required for e.g cats/rabbits, please create a duplicate appointment types that is species-specific
Another option would be to keep providing vaccinations while prohibiting online bookings for KC Vaccines.
New vs Returning client availability
You have the option to restrict specific appointment types based on the client type. In the present situation, you can decide if you wish to offer vaccinations for new or returning clients.
You can find this option on the appointment types page in your Vetstoria account
If this option is not available in your account, please contact Vetstoria support and we will enable this for you.
More information on how you can manage your appointment types/availability can be found here
Adding an appointment screening message
You can add a preventive appointment screening message to prompt the pet owners with a message at the stage of entering the reason for the appointment, making the pet owner aware that KC vaccinations cannot be booked
More information on how you can manage your appointment screenings can be found here
Disable multiple pets per online booking
You can disable multiple pets from being booked per appointment. This means that pet owners will not be able to bring in more than 1 pet per booking.
Enable payment to prevent no shows
You have the option of taking payments via Vetstoria. Therefore you can leverage this feature to get the pet owner to make a deposit or the full payment for the appointment to prevent no shows.
More information on how you can manage your payments can be found here
If this option is not available in your account, please contact Vetstoria support and we will enable this for you.
Managing the KC Vaccination backlog
Vetstoria provides an intuitive way to manage your vaccination backlogs. This can be setup whether you use iRecall or manage your reminders inhouse.
- Utilize Digital Marketing and create custom links that you can use to target a select audience and prioritize clients that are overdue.
- Each link can be configured to show customized online availability to control exactly when pet owners book an appointment based on the priority of the appointment type booked. (i.e Changing the Gap to Earliest Available Slot for each link)
