How do I view payment transactions?

This article will guide you on how to view the payment transactions for your clinic

Payment Transaction reports list all the bookings where transactions have taken place.


View Clinic user transactions

To view these transactions go to Appointments > Payment Transactions

Attention:

Each record in the ‘Payment Transactions’ report represents a booking not an appointment. If there is a multi-pet booking, there will be multiple values in the columns such as  ‘Pet Name’, ‘Appointment Type’



Transactions will be displayed in reverse chronological order and will display the following information.

  1. Clinic Name - Your clinic name
  2. Reference ID
  3. Client Name - Name of the pet owner who booked the appointment
  4. Client Email Address - pet owner's email address
  5. Pet Name 
  6. New Client
  7. Appointment Type - Appointment type used for the booking
  8. Appointment Date & Time - Date and time the appointment was made
  9. Payment Option Type
  10. Payment Status - Payment status of the consultation
  11. Currency - Currency of the amount charged
  12. Consultation Charge
  13. Transaction Fee
  14. Net Appointment Fee
  15. Transaction Date & Time - Date and time the transaction was made
  16. Transaction ID - The transaction ID on Stripe
  17. Booking Session ID
  18. Is Exported - Checkbox to select if you want to export this data 

This information can be filtered based on the payment status: All, Paid and Unpaid as well as based on the date: Transaction Date and Appointment Date.

The summary of the above information can also be exported as a CSV file by clicking on the ‘Export’ button on the bottom right corner of the screen.

When a record is exported for the first time,  the ‘Is  Exported’ checkbox gets ticked and it will stay ticked for the subsequent exports.

Attention:

In the ‘Consultation Charge’ column, before a booking is checked out, the pre-authorized fee is displayed. However once the checkout is complete,  the actual charged amount is displayed.


View Vet Group user transactions

To view these transactions go to Reports > Payment Transactions


Transactions will be displayed in reverse chronological order and will display the following information.

  1. Vet Group Name
  2. Clinic Name - Your clinic name
  3. Reference ID
  4. Client Name - Name of the pet owner who booked the appointment
  5. Client Email Address - pet owner's email address
  6. Pet Name 
  7. New Client
  8. Appointment Type - Appointment type used for the booking
  9. Appointment Date & Time - Date and time the appointment was made
  10. Payment Option Type
  11. Payment Status - Payment status of the consultation
  12. Currency - Currency of the amount charged
  13. Consultation Charge
  14. Transaction Fee
  15. Net Appointment Fee
  16. Transaction Date & Time - Date and time the transaction was made
  17. Transaction ID - The transaction ID on Stripe
  18. Booking Session ID
  19. Is Exported - Checkbox to select if you want to export this data


If you are using a safari browser the steps to export reports are slightly different, please follow the below steps to learn how to export Vetstoria payments reports using safari.


How to export the Vetstoria Payment Report in safari

  1. In Vetstoria, select your date range.
  2. Click on the Export icon in the bottom right-hand corner
  3. Once the file is displayed in your Safari browser, go to File -> Save As
  4. Change the file name as needed and add “.csv” as the file extension in the file name
  5. In the next prompt, change Format to “Page Source” 
  6. Click Save
  7. Then click the back button, to navigate back to your Vetstoria dashboard
